Add QR Code to Patient Demographics to access the patient portal

Why we created this: Previously, the only method of allowing a patient to fill out their information in the Patient Portal was to send an email. You now have the ability to scan the QR code with a mobile device or tablet so the patient can create a password and sign into the patient portal when they arrive at your office.
How it works: In the patient demographic screen, you have the option to either email the patient the Patient Portal link ahead of time, or, if they don't fill it out and arrive at your office for their IE you can scan the QR code. The patient will then use the email address linked to their profile in OptimisPT and create a password. They'll be able to fill out all of the patient demographic information, medical history, etc. without the need for any paper in the office.
Update for Actions search

Why we created this: When the provider first enters the "add actions" section, the view of available actions is still too limited. In receiving feedback from many clients, we've come up with a more streamlined way of searching in "add actions 2".
How this works: The initial view upon clicking into "add actions 2" will now have the following parameters:
-Actions filtered to the body region but not down to the pattern
-Action view expanded already to:
- expand all
- gallery view
- Only those actions with pictures
- All actions within intervention
We only need two search buttons:
- Search all in current intervention
- Search all in ALL interventions
Mandatory Documents in Patient Portal

Why we created this: Previously, any documents added in the patient portal were included, for all patients. Practices need the ability to add "optional" documents that only certain patients would need to see (i.e. pelvic health consent to treat, Work Comp form, etc). Users will now have the ability to designate whether a document is "sent to all" or "sent upon selection"
How it works: In the "Portal" tab in the practice admin settings, when you add a document, designate whether it is "sent to all" or "sent upon selection". In the patient demographics section where you send the portal invite, select any documents designated "send upon selection" prior to sending the portal invite
Time in/Time Out should not be required for Absent Visits (Progress or Discharge)

Be able to click the star to add AND remove as a favorite

Custom exercise update

Why we created this: Many therapists have created a large amount of custom exercises. Filtering through the list and trying to find an exercise can become challenging with the more custom exercises you create.
Expected Function: You now have the ability to filter the exercises in alphabetical order, add a "type" of exercise (stretch, strength, balance, mobility, motor control) add a "tag" to be able to search by, and a new ability to search by body region, "type" and "tag".
MRN Search for Audit Logs

Why we created this: If the therapist has to go into the outcome measures in the EOC section, it's a few clicks to get there (and they don't always know where to go. If there was an intuitive link in the measures section that allows you to return to the measures section (like we have in the diagnosis section), this would be more intuitive and less clicks.
How it works: When in the measures section, the new "Outcome Measure" button allows the user to land in the EOC section in the Outcome Measures tab. You can then perform whatever is needed in that section. There will then be a blue banner that allows them to "return to visit" in the meausres section from where they came.
Text Template free text box expansion

Why we created this: In some sections of the initial evaluation, some therapists use the text boxes for a considerable amount of information, but when expanding the text box, it creates a "ghost like" appearance and you can't easily read the verbiage further down in the box

Why we created this: United Health Care is now requiring "time in/time out" for all of their commercial plans, and some additional plans. This area is easy to miss when the therapist is documenting and it's a new rule as of July 1
How it works: We added a toggle/button at the insurance level to "alert if time in/time out required", that will throw an alert if the therapist is about to sign the document and they did not click on and indicate a "time in/time out".
Add "Visit Type" Filter Option in Scheduling V2

Add new patient flag to complete patient report

Why we added this: Now that we've released the new feature "Patient Flags", the Complete Patient Report is a quick way to see which patients are "flagged".
How it works: If you run the Complete Patient Report, any patient that is "Flagged" will have a Flag icon next to the name with the color that was designated in the setup of that Flag at the Practice Admin Level. You can filter by these flags.

How it works: Flags are a new feature set up at the patient demographic level as an alert or hard stop when scheduling the patient Schedule V2.
The setup for Flags can be completed in the Practice Admin settings - General under a new tab called "Flags". Examples of reasons that you may "flag" a patient are Frequent no-show, Interpretor needed, Patient Payment Plan, Hardship approved, and many more. You have the ability to set up each flag so that you recieve and "alert" when attempting to schedule the patient, or a "hard stop".
Add Cancels and Late Cancels back to schedule V2

Update to the story: The first date this was released, there was a problem creating documents in visits in the past if the POC cert had expired. The bux fix allows you to now create documents IF that visit was covered by an established POC certification period
Wrapping Issue for Top Bar

Why we added this: Practices that use the "fee ticket" from the billing record have requested a single place to easily access this versus going into each billing record individully

Hard Stop Auths are Including Current Visit

Add Field Selectors for Daily Visits By Status Report

If you choose the field selector option, you will be able to see the fields and check off or uncheck whichever fields you want. We have made some enhancements to the patient retention report in OptimisPT. We have added hyperlinks to the demographics from the MRN. We have removed the clinic name if you are filtering by a specific clinic. We have added the episode of care name and hyperlinked that to the episode of care. We have also added the last visit type of the EOC to the report.
Add a "send now" option to V1 and V2 scheduling in order to send the appointment reminder instantly

We have added the ability to send appointment reminders, even if the automated reminder is not yet scheduled. Previously, users would have to schedule the reminder first manually, before being able to send. The manual scheduling has been removed, and now an option has been added to send the reminder immediately even if it has not yet been scheduled.
Please note, that this feature is in addition to the automated appointment reminder system, that sends an appointment reminder out approximately 24 hours in advance.

Episode of Care Tags

We have added the ability to tag an episode of care. These tags can be setup in the Admin section, under the EOC tags menu. Tags can be assigned a description and color and can apply to one or more clinics. You can tag an EOC from the episode of care screen. The tags will be present and visible in the schedule screen and in the episode of care. You can also filter the schedule by the episode of care tags, by enabling the tags legend, in Schedule V2.
Toggle for Filter Option (Gray vs Dissapear) and Visit Counts

In the filter options for Schedule V2, you can now choose the filter action. You can chose between removing the appointments from the view or graying them out in the view. These are available in the options of Schedule V2 for each user.

Remove targets for documents at Patient EOC level

Based on requests from many therapists across the country, we've added the ability to "hide" the targets on the documentation. This is primarily for those patients who will never achieve the high level targets that are listed, but it's time consuming to adjust each target to be reflective of the level they can achieve. For those EOC, a user can now remove the targets from the documentation so that the documentation remains accurate and it is a more efficient process for the therapist. The targets can be added back at any time on future visits.
Add Clinic Hold and Billing Hold visits to the case visit count in the Daily Visits by Status Report

Alert upon checkin if a physical resource is listed as the provider

If the appointment is scheduled with a physical resource and that physical resource is listed as the provider, an alert will be shown to the user upon check-in to ensure they understand they are checking a visit in under a physical resource. Once a visit is complete, the provider name cannot be changed, so it is important to ensure you have the correct listed provider prior to checking the appointment in.

Treatment Issue When Switching Episodes of Care

We have fixed an issue, that caused treatments to hide in the background when the episode of care is switched on a visit. We called this ghost treatments. We have now added a function to remove the treatments when the episode of care is switched. Archiving Billing Cases

We have recently added the ability to archive payment sources, now you can archive billing cases as well. When a payment source is archived, all billing cases attached to that payment source will be archived as well. You can also individually archive billing cases, by unchecking the "active" button inside the billing case, in the episode of care. You can unarchive billing cases as well. You will see all archived billing cases below the active billing case in the billing cases section of the episode of care.
Add Clinic Address as a variable for SMS reminders

Multiple SMS Segments

We have increased the maximum allowed segments of the SMS reminder messages to 3 segments, of 160 characters each, for a total of 480 characters. You can now include more information in your SMS reminders. Please note, anything past the character limit will be cutoff. Also note, that we cannot control how a carrier delivers the message or how a phone displays the message. Some phones may combine all 3 segments into one, while others may be delivered as 3 separate messages. Please be sure to inform your patient that by accepting the automated reminders SMS, additional fees from their carriers may apply if they do not have unlimited SMS.

We currently have the post-surgical check box in the Reason-for-Referral section that flows in the DVBS report and into the visit where the therapist can see where the patient is timewise in their post-op protocol.
We need to add this box in the EOC section where the front office can enter it when the EOC is created. This will allow us to see upcoming post-op EOC reflected in the reports as well. This is necessary for scheduling and follow-up.

Ability to Switch Between Icons and Icons With Words on Schedule V2

Previously on Schedule V2, we would only show icons related to the features to save space. We have now given you as the user, the option to see words related to the icons in the Schedule V2 view. In order to use this feature, you will first click on the gear cog icon, which will open up your schedule view settings. You will see a new checkbox called Show Text Next To Icons. Once you click that, the icons in the schedule options bar will now have words next to them.
Please note, that these options take up a lot of screensize, so you may need to scroll, depending on the size screen you are on. The scroll bar is the gray bar underneath the options menu bar.
Highlight a Time Row on the Schedule V2 in Yellow By Clicking
